Information we collect

Depending on the stage of a rental, Z.H. Rentals may collect contact information, country of residence, nationality, booking dates, flight and pickup information, driving-licence details, passport or government-ID information, additional-driver information, vehicle inspection records, payment status and transaction references.

Why we use it

We use customer information to provide quotations and reservations, verify driver eligibility, arrange vehicle handover and return, maintain rental records, communicate with customers, manage payments and deposits, respond to incidents, maintain fleet records and meet applicable legal, tax and regulatory obligations.

Payment information

Our intended e-commerce design keeps raw card details outside the Z.H. Rentals application. Card information will be entered into the selected CIBC-approved gateway or tokenized payment interface. Z.H. Rentals may retain non-sensitive payment records such as payment status, amount, currency, gateway transaction reference and timestamps.

Who information may be shared with

Information may be shared when necessary with payment/acquiring providers, insurers, roadside or repair providers, professional advisers, technology/service providers acting for Z.H. Rentals, and public authorities where required by law or regulation. We do not sell customer personal information to advertisers.

Security

Z.H. Rentals uses access controls, protected administration, HTTPS in production, authenticator two-factor authentication, WebAuthn passkeys, restricted document access, security headers, database backups and provider-hosted/tokenized payment architecture as part of its security approach. No online system can be guaranteed completely risk-free.

Uploaded documents and photos

Customer identity and licence uploads are restricted to authorized administrative access. Supported uploads are checked against their declared file type. For JPEG, PNG and WebP images, the platform removes common EXIF/GPS, XMP, IPTC/comment and text metadata before storing the image. PDF customer documents are delivered to administrators as downloads rather than embedded browser content.

Community accounts and moderation

When the Z.H. Rentals Community is enabled, member email addresses are used for account verification and for matching eligible completed rentals to verified reviews. Public contributions may include a display name, photos, comments and reviews. Contributions are moderated before publication, and signed-in verified members can report published content for review.

Community members can permanently delete their community account and its associated photos, comments and reviews from the member panel after confirming their password. Rental, payment, accounting, insurance and regulatory records are managed separately and may still need to be retained where Z.H. Rentals has a legitimate or legal record-keeping obligation.

Retention and access

Rental and transaction records may be retained for operational, accounting, insurance, dispute-resolution and regulatory purposes. Customer identity-document retention is configurable by Z.H. Rentals and should be set to the approved business/legal retention period before production. Authorized administrators can also delete individual uploaded customer documents when they are no longer required. Customers may contact Z.H. Rentals at info@zhrentals.net regarding their information or to request correction or deletion where applicable, subject to legal record-retention obligations.
