Payment, Cancellation & Refund Policy
How online rental payments, cancellations, refunds and the vehicle security authorization are intended to work.
Payment policy
Online reservations are priced in Barbados dollars (BBD). At checkout, Z.H. Rentals may offer one or more payment methods such as PayPal, Credit / Debit Card, Cash on Pickup/Delivery, and Bank Transfer. Available options may vary by booking.
Choosing bank transfer does not mark a booking as paid. A transfer is treated as received only after Z.H. Rentals verifies it. Cash selected for pickup/delivery remains due until staff records the payment at handoff. PayPal and Credit / Debit Card payments use provider-hosted checkout; Z.H. Rentals does not collect or store raw card numbers on its own server.
Reservation & administration allocation. For new reservations, Z.H. Rentals may designate a disclosed portion of the existing rental and protection price as the reservation/administration amount. This does not increase the quoted booking total and is not added on top of the rental price. It applies regardless of payment method and is therefore not a PayPal or card surcharge. The included amount is snapshotted into that booking so later configuration changes do not rewrite the customer’s accepted price. For a customer-initiated cancellation after confirmation, this included reservation/administration amount is normally non-refundable.

The cancellation percentage is applied to the eligible booking charges after removing the reservation/administration amount that was already included within those charges. If the rental does not take place, any government Car Rental Levy collected for that cancelled rental is refunded as applicable. If Z.H. Rentals cancels a confirmed rental and cannot provide a suitable replacement, a duplicate or payment error occurred, or a full refund is otherwise required, the customer receives a full refund including the reservation/administration amount.
Date changes
One date-change request may be made without an administration fee when requested at least 72 hours before the scheduled pickup, subject to vehicle availability. Any price difference caused by new dates or rates remains payable.
Vehicle security authorization
The general working security-deposit policy remains separate from the rental price and should not be treated as rental revenue. Z.H. Rentals is confirming with CIBC whether authorization-only, capture and reversal/void functionality is supported for the e-commerce car-rental workflow.
A future protection policy may require a higher credit-card authorization when a renter declines CDW. The current planned minimum is US$1,500, but that requirement remains inactive until the approved gateway can support card holds and Z.H. Rentals deliberately enables the policy.
Refund processing
Approved refunds will be returned through the original payment method where possible. The refund amount is calculated from the booking snapshot and the reason for refund. Staff must identify the refund basis in Admin; customer-cancellation refunds are limited automatically by the timing schedule above, while Z.H. Rentals cancellation, duplicate/payment error and other required full-refund cases can return the complete amount paid. The time for a refund or released authorization to appear can depend on the payment gateway, card network and cardholder’s bank.
Currency
The website displays and processes rental pricing in Barbados dollars (BBD) unless a future approved payment configuration explicitly states otherwise.
